Overview
Unit reporting is another way for prices and rates to be calculated in a given order. The price and/or rate will be calculated by quantity and not by duration and the units will need to be added when completing a task that requires unit reporting.
For an order to use unit reporting to calculate prices and/or rates, a few parameters need to be met:
-
Set a unit type calculated by quantity instead of duration and check “Require resource unit reporting”
-
Create a price and/or rate that uses a unit type calculated by quantity
-
The resource completing the task will need to add the units for a specific task
Setting up
To use Unit reporting to calculate a customer price or a resource rate, the system will need a unit type that is calculated by quantity instead of duration and the “Require resource unit reporting” checkbox needs to be enabled.
If there is no unit type calculated by quantity and with “Require resource unit reporting” enabled, a new unit type needs to be created.
For that, go to Administrator > Tables > Finance > Unit types and click the “Add unit type” button at the bottom of the page.
Required role group: System Administrator
When the new unit type is created, make sure to enable “Require resource unit reporting”, otherwise, the unit reporting pop-up will not be shown.
Creating prices with Unit reporting
To calculate a customer price with unit reporting, said price will need to be calculated with a unit type that requires unit reporting.
To know more about how to create prices and price lists, read our Customer Product price creation article.
To create a price with Unit reporting, go to Manager > Price lists & Workflow templates > Customer prices, click “Add price” and a new editable row will be added to the grid.
Fill out the description, the billing description, the product and the unit prices. Like in a price calculated by duration, these fields are mandatory.
Next, change the unit type to one that requires unit reporting and is calculated by quantity instead of duration.
To see which unit types are calculated by quantity instead of duration, go to Administrator > Tables > Finance > Unit types.
Creating rates with Unit reporting
To calculate a resource rate with unit reporting, said rate will need to be calculated with a unit type that requires unit reporting.
To create a resource rate with Unit reporting, go to Manager > Price lists & Workflow templates > Resource rates, click “Add rate” and a new editable row will be added to the grid.
To see which unit types are calculated by quantity instead of duration, go to Administrator > Tables > Finance > Unit types.
If the rate is resource, task or language specific, add the relevant tasks, languages and/or resources.
Note that, if checked, “Language relevant” will take the languages selected under “Source” and “Target” into account. It is checked by default, but it can be unchecked during rate creation or after a rate is created.
Orders with Unit reporting
The steps to create an order calculated by unit reporting are the same as any other order. Please read our Order creation help file for detailed information on how to create an order.
The pricing and cost of an order don’t need to be calculated by only one unit type. For example, the customer price can be calculated per unit reporting and the resource rate can be calculated per minute.
For the customer price to be calculated by unit reporting in a given order, during order creation, choose the pricing corresponding to unit reporting.
For a resource rate to require unit reporting, choose a resource that has a resource rate calculated by quantity instead of duration.
Until the units are reported, the pricing and cost will be shown as zero.
Note that the “Pricing” tab under Order info will only show customer prices and does not include rates, but the “Cost” tab shows both prices and rates.
Note: Orders with split tasks behave as follows:
When only the rates are calculated based on unit reporting, each subtask is calculated according to its own number of units.
When the pricing is also set to be calculated based on units, the system sums the unit counts across all subtasks and calculates pricing accordingly.
Reporting units
For the Unit reporting pop-up to prompt, the resource will need to complete the task, either using “Finish project”, in Toolkit, or using the “Complete task” button in the My tasks page.
If an order only has a price that requires Unit reporting, when the resource completes a task, only the pricing units will need to be added.
If an order has both price and rates requiring Unit reporting, when the resource completes a task both units will need to be added.
Note that only the units reported in the last task in the Workflow will be used to calculate the final Product price.
Unit reporting report
To see the Unit reporting report of an order, go to Sales dashboard > Orders tab and click the Unit reporting icon.
The unit reporting icon is shown in Sales dashboard > Orders, Tasks, Pricing and Cost tabs, Order info > Pricing and Cost tabs as well as My menu > My tasks, Pool tasks, My realtime tasks and Tasks completed tabs.
From Manager > Reports > Unit reporting report, there’s a list of all tasks with unit reporting in the system.
Unit reporting colors
The unit reporting icon is different, depending if it’s required or not or the status of the reporting.
The following is a list of possible icons found in orders.
