Asset availability - letting resources know when will assets be made available

The asset availability functionality will let your basic users know when they can expect the assets they need to work to be available

Overview

The asset availability functionality will allow basic users to have visibility into when will the assets required to work be made available through a new popup in My menu > Tasks.

This information is populated based on the Task supply date (or Task internal supply date, if enabled) of the tasks said assets will be uploaded to.

Configuration

Two levels of configuration are needed to give visibility to basic users:

  • Which tasks should be visible
  • Which users should have access to this information

From Administrator > Tables > Tasks tables > Task types > Edit of the relevant tasks, it's possible to select which tasks should be visible to basic users as asset tasks.

This can be done by enabling the "Asset task" switch.

Additionally, only resources with the Can see assets availability role will have access to the new column in My menu > Tasks:

Accessing the "Available assets" page

Users with the Can see assets availability role will have access to an additional column in the My menu > Tasks page.

Clicking on this column will open a popup with the details of the assets expected to be made available.

The listed tasks will be the tasks which have been configured as asset tasks.

These details will include the language the file is uploaded into (or pre production, if applicable), which product (if relevant) and task, as well as the specific file type that's expected to be made available.

It will also display the Task supply date of said tasks to let users know when are the files expected to be completed, and the Task completed date, if the asset was already made available.
